Terms & Conditions

Please Note:  These Terms and Conditions may change at anytime with or without notice.  Check the T&C attached to every Standard Confirmation.

Special Note about CoronaVirus and Social Distancing:   We are now limiting Sedan transportation to 2 passengers, SUVs to 5 passengers. No passenger may sit in the front seat. Single Passengers should sit opposite the chauffeur and not directly behind the chauffeur.  Our vehicles are Cleaned thoroughly with DISINFECTANT before and after every trip.

 

Chauffeurs & Passengers MUST wear a Face Covering for the duration of the trip inside the vehicle. 

 

WASH YOUR HANDS AS MUCH AS POSSIBLE! 

 

Travel Advisory: It has been advised (and required in some areas) that anyone traveling from state-to-state should SELF-QUARANTINE at your new locations for a minimum of 14 days. For further information, please check with the state and local government websites in the location of your destination.
 

Bottled Water upon request ONLY:  We have offered complimentary bottled watered and still do!  However this MUST be requested before scheduled pickup.  Due to Cross-Contamination concerns with COVID-19, we will no longer offer bottled water, newspaper/magazine, or  mints/candy.

 

All deposits NON-refundable.

 

We are not liable in the event of mechanical breakdown while on charter and will only be responsible for making up lost time at a mutually agreed date.

 

The client assumes full financial liability for any damage to the limousine caused during the duration of the rental by them or any member or their party.  A fee of $100.00 for each carpet or seat burn.  Sanitation fee of $250.00.

 

Smoking and drug-use in the vehicle is strictly prohibited.  Smoking in the vehicle may result in a fee of up to $1,000 for cleaning and vehicle down time.

 

The chauffeur has the right to terminate run without refund (if there is blatant indiscretion on the part of the client(s)). 

 

We are not responsible for delays or the termination in winter caused by unsafe road conditions (ie. not salted, accidents, etc.).  We reserve the right to cancel any ride we deem to be taking place in unsafe weather conditions.

 

We are not responsible for articles left in limousine.

 

Balances are to be paid to the driver on the trip date before the beginning of the trip.

 

Vehicles cannot be loaded beyond seating capacity.

 

We are not responsible for tracking departing flights.  In the event your flight is cancelled, there will be no refund if we are not notified by the traveling or booking party prior to pickup.

 

You must be 21 years of age or older to reserve any of our Limousine Services.

 

Long Distance Travel 
Any travel of over 850 miles ~OR~ 10-12 hours of driving time, the One-Way Trip will have to broken into Multiple Days.  The Confirmation will have additional fees added for Hotel Charges.  This MAY NOT be present on the original confirmation, but will be added on a Separate Line of Charges to the confirmation and billing receipts.

 

Chauffeur's Gratuity  
A Service Fee is included in all bills.  Any additional gratuity paid to the chauffeur is at the client's discretion and will be in addition to the standard gratuity that has been charged.

 

Hourly Service

Additional hours may be added if the service finishes after the scheduled completion time.  Rates for hourly service are based on pickup & drop off locations in the same area, if drop off location is different, additional time will be added to return.  Additional time may be added to Hourly Service to account for vehicle time to/from our base.

Tolls:  Tolls will be added based on  actual usage plus travel on our Garage-to-Garage.  (Garage Fees are based on Region).

Maximum Mileage:  Hourly  Rates are based on a Maximum AVERAGE of 25 miles per hour, additional fees may incur if the trip exceeds this average.

*Note for Hourly Service:  The vehicle's minimum hourly rate will be charged to the credit card at time of booking.  The remaining balance plus 2 hours will be authorized on the credit card 24-48 hours before the trip, this authorization will be finalized when the trip is completed for the remaining balance.  If the trip exceeds the amount held, DouglasVIP will pre-authorize additional funds.  All pre-authorized amounts are settled within 12 hours of completion of the trip.

 

Payment is Required at time of Booking 

DouglasVIP will charge the credit card on file for the full amount of the reservation at time of booking.  For additional charges, such as wait time, additional time, additional stops (not already billed), or any other incidental charges will be charged on the day of travel in separate charge on the credit card on file.

 

Wait Time Policy 

Grace periods are determined by the pickup location and start at the scheduled pickup time.  If the grace period finishes and the passenger has not arrived, wait time will be charged and will be calculated at the vehicles hourly rate on the quarter hour.  (ex. Our Sedan Service, if waiting for 15 minutes would cost an additional $13.75 + service fees, for additional hourly rates please contact DouglasVIP).

Grace Periods:

     •Non-Airport Pickups:  15 minutes

     •Cruise Terminal Pickups:  30 minutes

     •Airport Pickups:  60 minutes 

Wait Time Charge will be added in 15 minute intervals, after the grace period has ended, based on vehicle's hourly rate.

 

Cancellation Policy 

Cancelation fees are based on pickup location, vehicle type, and the time the reservation is cancelled.  Minimum notice is required to avoid fees:

 

For Most Vehicles:

Cancelations must be made a minimum of 48 hours before the trip, via phone call.  Any cancellations made before 48 hours will be eligible for 100% of the charged amount in CREDIT for DouglasVIP in the future (this does not expire ever!), or 75% of the charge refunded to the credit card that was charged.

Longer-Distance Travel (over 150 miles) or Multi-Day Reservations: 

Cancelations must be made 7 days in advance for the eligibility for any refund.  A credit may be issued at the discretion of DouglasVIP.  Any refunds after booking will not exceed 75% of the total charge.

Cancellation Fee:  Failure to notify DouglasVIP over the phone within the the minimum notice period set forth above will result in being charged up to 100% of the reservation total.

Discounted Trips are NOT eligible for any refund!  A credit can be issued if canceled within the guidelines above, however NO refund will be issued.

 

Mini Buses, Motor Coaches, Stretch Limousines, Party Buses:

If you cancel a trip: 

30+ days         before the date of travel - the deposit will be retained

29-15 days      before the date of travel - the deposit plus 10% of the total price will be retained

14-8 days        before the date of travel - the deposit plus 20% of the total price will be retained

Within 7 days before the date of travel - there will be no refund

 

Any change to a reservation that occurs without the minimum notice period set forth above will be deemed to be a cancellation of the original reservation and will result in the imposition of the applicable cancellation fees. 

The cancellation and other fees also apply in the event the passenger is not available for his/her scheduled pickup.

No-Show Policy

In the event that we cannot communicate with the traveling or booking party, DouglasVIP Chauffeured Services will cancel the reservation and apply cancellation fees (listed above).  Our chauffeur & dispatch staff will attempt to call, text, or e-mail with the contact information that was provided at time of booking.  The reservation will be canceled if we cannot make contact after the scheduled time, within:

     •Airport Locations:  90 minutes

     •Cruise Terminals:  60 minutes

     •All other locations:  30 minutes 

Please Note:  We track inbound flights and adjust scheduled time based on gate arrival. 

 

Changes to the original Confirmation

Any Changes to the routing, time, date, or special requests may result in a rate change.  All Changes will be confirmed by a Modified Confirmation e-mail.  Any changes made less than 48 hours before the trip, must be made by phone with a Transportation Specialist at (833) 368-4847.

Toll Policy

Tolls (if any) will be added on day of travel.  Tolls will be calculated based on travel with the passenger plus travel to pickup and return from drop off locations. 

  

Parking Fees

Parking Fees (if any) will be added to the total on day of travel.

 

Camera MAY be in vehicles 

Some of our vehicles have cameras that record both visual and/or audio for outside or both in and outside the vehicle.  Any use of recordings are for safety related issues only and will not be shared with any third parties, outside of legal obligations.  We will protect your privacy!  Cameras are in use to keep our chauffeurs and our clients safe.

 

Holiday Service Fees 

A service fee will be charged if your trip falls within the hours of any of the following holidays:  New Years Eve, New Years Day, Easter Sunday, Memorial Day, Independence Day, Labor Day, Easter Sunday, Christmas Eve, Christmas Day, and Thanksgiving Day.  This will be disclosed at time of booking/confirmation.

 

Other Surcharges & Fees 

Surcharges may be added for large events, such as sporting events, political events, and other significant events:  This will be disclosed at time of booking & confirmation.
